Universal Account Number, or UAN, is a unique identification number allotted to an employee covered under the Employees’ Provident Fund system. It acts as a single umbrella number that helps link multiple PF member IDs created across different employers during a person’s working life.
Instead of treating every job change as a completely separate PF identity, the UAN helps employees access, track, transfer, and manage provident fund records more easily through EPFO’s digital services. For employees, it simplifies continuity. For employers, it improves PF onboarding, compliance, and employee record management.
When an employee joins an organisation covered under EPF, the employer links the employee’s PF member ID to the employee’s UAN. If the employee already has a UAN from a previous job, the same UAN should generally continue and the new PF account is linked to it.
A UAN helps employees:
• View PF passbook and contribution history
• Link or update KYC details, subject to EPFO rules
• Transfer PF balance while changing jobs
• Submit certain withdrawal or transfer requests online
• Track service history across employers
• Reduce dependence on paper-based PF processes
Employers use UAN for monthly PF compliance, employee mapping, contribution reporting, and smoother exit or transfer processes.
For HR and payroll teams, UAN is not just an employee convenience number. It is a core compliance identifier in PF administration. Incorrect UAN mapping, duplicate UANs, missing KYC, or mismatched employee details can delay claims, transfers, exits, and employee grievance resolution.
Companies should verify UAN details during onboarding, ensure employee name and identity details match official records, and guide employees to activate and maintain their UAN access. This is especially important for organisations with frequent hiring, large blue-collar workforces, distributed teams, or high employee movement
UAN improves portability and transparency in provident fund management. It reduces fragmentation of PF accounts when employees change jobs and helps employees retain long-term visibility over their retirement savings.
For businesses, accurate UAN handling reduces compliance errors, employee escalations, payroll delays, and post-exit service issues. A strong onboarding checklist should include UAN availability, KYC status, previous employment details, and PF applicability so that employee benefit records remain clean from the first payroll cycle.
